Construction Estimate Review: What It Costs, What You Get and When It Pays for Itself

An estimate gets its real review once: before the contract is signed or before money is released. After that, the leverage is gone and what is left is change orders and disputes. So the question is not whether a review is worth it, but what it costs compared with the error it can catch.

Six signs an estimate needs an independent review

  1. The estimate is in the millions and nobody has time to go through it line by line.
  2. Two bids for the same scope differ by more than you can explain.
  3. Large allowances, lump sums or "misc." lines with no backup.
  4. Quantities that were never checked against the drawings or a takeoff.
  5. Markups, contingency or escalation applied without a clear basis.
  6. The contract or draw has to be signed this week.

If two or more apply, a review will almost certainly pay for itself.

What an error costs: a worked example

An illustrative case. A $2.4 million estimate. One scope item is priced twice under two trades (1.5% of the total) and site-work quantities are not supported by the drawings (3% of a section worth one third of the estimate). That is about $36,000 plus $24,000, roughly $60,000 of overpricing. A trial review costs $100. Catching even one of the two pays for it hundreds of times over.

What to do with the report

Do not forward the whole report. Pick the findings with the largest dollar impact and turn them into questions: "Lines 12–14 and 41–43 describe the same work. Why is it priced twice?" A good contractor corrects or explains. Vague answers to specific questions are information too.

What it does not do

An AI review reads documents, not the site: if quantities are inflated and the drawings do not show it, the document alone will not reveal it.
